This tutorial provides the complete steps to design a database schema of the Employee Management System to manage the users, roles, permissions, organizations, and employees.

Organization Database

The very first step is to create the Organization Database. It can be created using the query as shown below.

CREATE SCHEMA `organization` DEFAULT CHARACTER SET utf8mb4 COLLATE utf8mb4_unicode_ci;

I have used the character set utf8mb4 to support a wide range of characters.

 

Role Table

In this section, we will design the Role Table to store the system and organization roles. The column type can be used to identify whether the role is for the application users or organization employees. Below mentioned is the description of all the columns of the Role Table.

IdThe unique id to identify the role.
TitleThe role title.
SlugThe unique slug to search the role.
DescriptionThe description to mention the role.
TypeThe role type to distinguish among system and organization roles.
ActiveThe flag to check whether the role is currently active.
Created AtIt stores the date and time at which the role is created.
Updated AtIt stores the date and time at which the role is updated.
ContentThe complete details about the role.

Updated AtIt stores the date and time at which the mapping is updated.

User Table

In this section, we will design the User Table to store user information. Users can manage their own profiles. Also, the users can use the application according to the system roles assigned to them. Below mentioned is the description of all the columns of the User Table.

IdThe unique id to identify the user.
Role IdThe role of the user. It can be Admin or User.
First NameThe first name of the user.
Middle NameThe middle name of the user.
Last NameThe last name of the user.
MobileThe mobile number of the user. It can be used for login and registration purposes.
EmailThe email of the user. It can be used for login and registration purposes.
Password HashThe password hash generated by the appropriate algorithm. We must avoid storing plain or encrypted passwords.
Registered AtThis column can be used to calculate the life of the user with the application.
Last LoginIt can be used to identify the last login of the user.
IntroThe brief introduction of the User.

Updated ByThe user id to identify the user who updated the organization.
TitleThe organization title.
Meta TitleThe meta title to be used for browser title and SEO purposes.
SlugThe slug to form the unique URL.
SummaryThe summary to mention the key highlights.
StatusThe status of the organization can be New, Approved, Active, or Blocked.
Created AtIt stores the date and time at which the organization is created.
Updated AtIt stores the date and time at which the organization is updated.
ProfileThe column used to store the profile details of the organization.
ContentThe column used to store the additional details of the organization.

KeyThe key identifying the meta.
ContentThe column used to store the organization's metadata.

User IdThe user id to identify the user associated with the Employee.
Role IdThe organization-specific role id assigned to the Employee.
Created ByThe user id to identify the user who added the employee.
Updated ByThe user id to identify the user who updated the employee.
CodeThe code used by the organization to identify the employee.
StatusThe status of the employee can be New, Approved, Active, Blocked, or Terminated.
Created AtIt stores the date and time at which the employee is created.
Updated AtIt stores the date and time at which the employee is updated.
Starts AtIt stores the date and time at which the employment starts.
Ends AtIt stores the date and time at which the employment ends.
NotesThe column used to store the notes specific to employment.
